The GEDEX Security Disk is a USB flash disk, owned by you, in which the GEDEX installer software is stored, as well as the files that make up the database of contact files and cases.
It is mainly used in offices that have several offices, or by professionals who have a second computer at home to continue working on weekends.
It requires keeping the GEDEX technical support service renewed, and with this you can keep the installer updated and synchronize your database in the easiest way, whenever you want.
There are other security tools in GEDEX, such as creating automatic backups on your internal hard drive. Additionally, you can perform external backups using third-party software, for example, DVD burning programs or backup programs, and you can even manually copy the GEDEX database from the file explorer. The GEDEX Security Disc does not include the writings and documents (those referred to in the Writings screen of the file) since they are not considered part of the database. For example, use third-party software to back them up.
Keep a backup copy of your work on a USB memory disk. You can use any flash disk, pendrive or USB memory stick, or even an external hard drive.
If you have a GEDEX usage license, the USB memory disk will serve as a backup. Since maintenance is extremely fast, we recommend that you make frequent backups.
If you have GEDEX usage licenses for your office and your home, or for different offices in your company, and you keep GEDEX technical support renewed, you can synchronize your database in the simplest way whenever you want.
1 - Insert your USB memory keychain into your PC.
2 - Start GEDEX, and access the menu Tools → GEDEX Removable Backup Data Disk.
3 - GEDEX will give you a choice between all the detected drives. Select your memory disk drive. If you have any doubts about which one it is, just use the Computer or My Computer icon and note what letter is assigned to it every time you connect that USB stick.
4 - In about 20 seconds your USB memory will be ready. GEDEX will not format it, if you already have documents in it you will not lose them.
Synchronizing the data means combining the files on your PC with the files on your USB stick.
It has two ways to synchronize the data, choose the one that seems most comfortable to you:
First way: Open Computer or My Computer, open the GEDEX Security Disk drive which usually has the icon, open the GEDEX_BAK folder and run the GEDEX_Disk program (it appears with a light bulb icon).
Second way: Start GEDEX and access the Tools menu → Backup copies → Synchronize Removable Backup Data Disk. This way of synchronizing is only available in offices that only have one GEDEX usage license, or also if you prepared the USB memory disk on the same PC.
Once you have created your USB memory disk, you will notice an interesting GEDEX behavior: When you close the program, if your USB memory is connected and detected, GEDEX will allow you to update the backup. Now you can have fresh backups even without having to remember to do them.
If you do not find the options mentioned in the menu you will need to download a newer version of GEDEX. With GEDEX you can use the new versions of the product without having to buy it again, contrary to what happens with the vast majority of competing software.
To avoid data theft in case of loss of the Security Disk, and to prevent unauthorized access to its content, the use of data encryption is imperative. To encrypt the Security Disk we recommend the use of VeraCrypt or Microsoft BitLocker (+ info on Google).
Any USB memory keychain will serve as a Backup Disk, but we recommend an 8 Gigabyte one (these cost less than € 8 today). This way you can use it for other purposes and over time it will not become obsolete too soon. In any case, for GEDEX even an old 128 Megabyte keychain will suffice. It is another advantage of the compact databases used in our product.
For your safety, we recommend that you use two memory keychains, and use them on alternate dates. This suggestion allows you to have two copies, and will prevent you from losing your only valid backup if it gets confused and instead of recovering it makes a recording.
