Delete a Contact File

If you have created a record for a contact, and it is no longer useful, you can delete it by clicking the 'Delete' button that appears on the same record.

If you do not have the card on the screen, you can search for it as explained in the section How to search for contact cards.

Some contacts cannot be deleted

It is usually not possible to delete contacts. This happens when the contact has files or is referenced from another file. In order to delete contacts, it is necessary to remove any references to the contact from all files. To do this, open each of these files and on the Own or Contrary screen delete the contact.

If your intention is to remove a member from your firm, for example because their employment relationship has ended, in that case we recommend that you do not remove the contact, and follow the instructions for Disassociating former members from the firm, discussed below.

Disassociating former members from the firm

When a member of your firm (a GEDEX user) ends their professional relationship, abandoning all the matters that they had until then, you can inform GEDEX of that situation, so that it releases they from the list of actions that were assigned to them, and thereby, become part of the actions that the rest of the professionals in your firm must complete. With this GEDEX will be able to easily reassign pending work to other lawyers.

To remove a former member from your firm, follow these steps:

Access the user's file, to do this you can search for it. Display the Tags box (it is one of the multiple-use boxes, where telephone numbers and other information of interest are displayed).

In the Tags box, write the word ADIOS and close the contact's tab.

GEDEX will ask for the Master Password to ensure that you are an administrator, and will then display a notice to confirm that the user has been successfully unlinked, with the phrase "Operation completed successfully".

If you now view any of the matters that that professional handled, you will notice that it has been removed from the Clients, Adversarial, Common screens. However, its name will continue to be present in the Actions, so that there is evidence that that member of the firm was the one who was initiating the task, or who was responsible for its completion. Internally, GEDEX will consider that these actions are not assigned to anyone, so it will issue notices to all members of your firm so that the action is completed on time.

As a final step, we recommend using the users configuration button so that this person is no longer considered a GEDEX user, for example in case they visit our firm in the future or communicate their passwords to other current members of the firm.
